Accounts Modules
The following accounts modules are companion products to our Sales
Administration module:
Debtors (Accounts Receivable)
Our Debtors module (Accounts Receivable) automatically picks up the invoices raised by the
Sales module,
and in turn passes these on (together with receipts from debtors) to the General Ledger.
You can enter receipts either individually, or as a batch. The software offers to print a banking deposit form that lists bank, branch, payer
details and cheque amount. When raising General Ledger transactions (if this facility is turned on) a batch of receipts on the same day are processed as a "split deposit", to facilitate easy bank reconciliation in the GL.
It has a very nice flow chart to facilitate end of month processing (which includes producing statements and relevant relevant reports).
From the Debtors Balances screen you can do ad hoc data entry of journals and receipts, produce statements, and even drill-down to view invoice details.
Creditors (Accounts Payable)
If you have sufficient volume of supplier invoices to warrant it (usually
the case with most sales based operations), the Creditors module (Accounts Payable)
can be very valuable. It records supplier invoices (amount, date due
for payment, etc.), gives good management reports (of amounts outstanding at
any point in time, etc.), and facilitates payment by the 20th of the month
(or whenever). Invoices, payments, and any other transactions are
automatically passed on to the General Ledger (if you have one).
The Creditors package supports electronic payment by direct credit through banking software packages from banking institutions.
For those suppliers that are not paid by direct credit, the Creditors module will ask for the first (and last) cheque number,
produce a cheque writing report, and raise matching payment transactions.
(It does not include a cheque printing facility at this stage, but we are very open to doing this if there is sufficient demand for it.)
There is a special variant of the Creditors module, for engineering
workshops and other job based industries who also have our Time & Cost
module. In this case, invoices from suppliers and sub-contractors that
are entered in the Creditors module can be coded to the respective job and
activity. Amounts are then passed on automatically to the Time & Cost module for subsequent
on-charging (invoicing) and tracking of costs by job/project. The
software allows you to optionally view supplier invoice lines by job when authorizing payments.
General Ledger
Our software will link with a number of popular General Ledger products on the market.
These include AccPac, Attache, and MYOB. It does this by generating an appropriate transaction file
ready for importing into the General Ledger package as a batch, whenever you wish to do so.
A number of our clients are still running our old DOS GL package. This
works perfectly with our Windows Accounts Receivable (Debtors) and Accounts
Payable (Creditors) modules. Over the last 12 months, the majority of
our new clients have actually opted to go in this direction for the time
being (we are planning to have a Windows GL available by March 2004).
